How to Fill Your Event Using WhatsApp
Ask a room of event guests how they heard about it and most will say the same thing: someone sent it to them on WhatsApp. Groups, statuses and direct messages carry more invitations than any advert. The difference between a link that gets forwarded and one that gets ignored is small, and mostly within your control.
1. Share a link, not a flyer on its own
A flyer image looks good but nobody can tap it. The person who wants to come has to ask “how do I register?” and wait for an answer. Many will not ask.
Share your event link instead. WhatsApp turns it into a preview card showing your flyer, the event name, and the date and place. One tap takes people to the page where they register or pay.
2. Make the preview look right
- Upload a cover image. On TavernCentral the preview shows your whole flyer, portrait or landscape, without cropping it.
- Put the essentials on the flyer in large type. Name, date and city should be readable at the size of a thumbnail.
- Check it before you broadcast. Send the link to yourself or a friend first and look at what arrives.
If you change the flyer later, share the link again. WhatsApp remembers the old preview for links it has already seen in a chat, so earlier messages will keep the old picture.
3. Write a message people will forward
The message around the link matters as much as the card. A forwardable message is short and complete on its own:
- The name of the event in bold. Wrap it in asterisks: *Lagos Tech Mixer*.
- One line on when and where. Saturday 10 October, Landmark Centre, Victoria Island.
- One line on why. What someone gets by being there.
- The link last. The preview card then sits directly under your words.

4. Start with people, then groups, then status
- Ten people who will definitely come. Message them one by one and ask them to register today. An event page with sign-ups on it convinces the next visitor.
- Groups where the event belongs. An alumni group for a reunion, a professional group for a conference. One message, not three.
- Your status, more than once. Statuses disappear after a day. Post when sales open, a week before, and the day before.
5. Ask your guests to bring someone
The moment someone finishes registering is when they are most willing to share. TavernCentral shows “Invite your friends” with a WhatsApp button right after registration, so each guest can send the event to their own contacts with one tap.
6. See which shares are working
Links shared from the buttons on your event page are tagged with where they were shared. When someone registers after following one, that is recorded. Above your attendee list you will see a line such as “From shared links: WhatsApp 42 · X 5”, and your attendee export has a Source column.
Use it to decide where your next hour goes. If WhatsApp brings forty sign-ups and everything else brings five, you know where to post again.
What not to do
- Do not add people to a new group without asking. It gets you reported and blocked.
- Do not post the same message in the same group every day. Space your reminders and change the wording.
- Do not send a link that needs explaining. If the page does not show the date, place and price, fix the page first.
